In short

01

Who we are and what this policy covers

Rite Software Solutions LLC (“Rite”, “we”, “us”) is an Oracle partner based in Houston, Texas, with offices in Hyderabad, San José, Toronto and Dubai. We build AI applications and AI agents for Oracle Cloud and deliver consulting, implementation and managed services around them.

This policy explains how we handle personal information when you:

  • visit rite.digital or another site that links to this policy;
  • use the Rite support portal at ritesupport.rite.digital;
  • download, trial or use a Rite application, including CloudMiner, ConvertRite, ConvertLite, RiteSync, ConfigRite, RevRite, CrewRite, AIA Workbench, EquipRite, PayWhenPaid, ProcureRite, LienRite, Invoice Backup, OnboardRite and our Oracle Cloud Marketplace listings;
  • meet us at an event, book a call, or receive our newsletters and marketing;
  • apply for a job with us.

Where you use a Rite application under a contract between Rite and your employer, your employer decides why and how your data is used and we act on their instructions. Section 7 explains that split.

02

Information we collect

Information you give us

  • Contact details when you fill in a form, book a meeting, request a brochure or demo, or write to us: name, work email, phone number, company, job title and country.
  • Account details when you register for a trial, a download or the support portal: name, email, company, the product you are using and your Oracle environment details where you choose to share them.
  • Support content in tickets, chats and calls, including screenshots and log files you attach. Please leave out passwords and payroll or personal data where you can.
  • Event and marketing details such as the sessions you attend, your questions and your communication preferences.
  • Career information when you apply to careers@rite.digital: your CV, work history, right-to-work details and anything else you choose to send.

Information collected automatically

  • Device and usage data when you visit our sites: IP address, browser type, device, pages viewed, links clicked, referring page and the time of your visit.
  • Cookies and similar technologies, described in section 5.
  • Product usage data from desktop and cloud applications, such as version, feature use, errors and licence checks, so we can keep the software working and supported.

Information from other sources

  • Oracle, when you contact us through an Oracle partner programme or install a Rite listing from Oracle Cloud Marketplace.
  • Business contact databases and LinkedIn, when we research companies that may benefit from our services.
  • Your employer or colleagues, when they name you as a contact on a project.

We do not ask for, and do not want, special categories of personal information such as health, biometric or financial account data through our websites.

03

How we use it

We use personal information to:

  • answer your questions and requests, and arrange the call, demo or trial you asked for;
  • create and manage your account, deliver downloads and licences, and provide support;
  • run, secure, monitor and improve our websites, applications and services;
  • send product updates, release notes and service notices you need as a customer;
  • send newsletters, event invitations and marketing about Rite, where the law allows and you have not opted out;
  • understand how people use our sites and content, in aggregate, to make them better;
  • recruit, assess and onboard candidates;
  • meet legal, accounting, tax and compliance obligations, and enforce our agreements.

Our legal bases

If you are in the European Economic Area, the United Kingdom or another place with similar rules, we rely on one of these bases for each use: your consent (for example, marketing cookies), performance of a contract or the steps before one (trials, support, downloads), our legitimate interests in running and promoting our business in ways you would reasonably expect, and compliance with the law.

Automated decisions and AI

We do not make decisions about you that have legal or similar effects using automated means alone. Our AI applications and agents suggest actions inside your Oracle environment, and a person at your organisation approves them. We do not use your personal information to train generative AI models.

04

Who we share it with

We do not sell personal information and we do not share it with other companies for their own marketing. We share it only in these cases:

  • Service providers that host, run or support our business, such as cloud hosting, email delivery, CRM and marketing tools, meeting booking, our support desk, analytics and payment processing. They work under contracts that limit them to our instructions and require them to protect the data.
  • Oracle, where you buy or install a Rite product through Oracle Cloud Marketplace or an Oracle partner programme, to the extent needed to fulfil that purchase or referral.
  • Rite group companies in the United States, India, Costa Rica, Canada and the United Arab Emirates, so the team nearest you can help.
  • Professional advisers such as auditors, lawyers and insurers, under confidentiality.
  • Authorities when the law requires it, to respond to a valid legal request, or to protect the rights, safety and property of Rite, our customers or others.
  • A buyer or successor if Rite is sold, merged or reorganised. We will tell you before your information becomes subject to a different policy.

We publish the list of sub-processors used for customer data in Rite applications in the customer agreement and will give you 30 days’ notice of changes through the support portal.

05

Cookies and analytics

Our websites use cookies and similar technologies. They fall into three groups:

TypeWhat it doesYour choice
NecessaryKeeps the site working: security, load balancing, remembering a form you started, the support portal sign-in.Always on.
AnalyticsTells us which pages are read and where visitors come from, in aggregate, so we can improve the site.Off until you accept them in the cookie banner. You can change your choice at any time by clearing your cookies, which brings the banner back.
MarketingLets us measure our campaigns and show relevant Rite advertising on sites such as LinkedIn.Off until you accept them. You can also use the opt-outs those platforms provide.

You can also block or delete cookies in your browser. If you block necessary cookies, parts of the site and the support portal may stop working. Our sites do not respond to “Do Not Track” signals, but we do honour the Global Privacy Control signal where it applies.

06

How long we keep it

We keep personal information for as long as we need it for the purpose it was collected, and then delete or anonymise it. As a guide:

  • Enquiries and marketing contacts: until you ask us to stop, or after three years without any contact from you.
  • Accounts, trials and downloads: for the life of the account, then up to three years for licence and audit records.
  • Support tickets: for the life of the customer relationship plus three years, so we can see the history of an issue.
  • Contracts, invoices and payment records: seven years, to meet accounting and tax rules.
  • Job applications: up to one year after the role closes, unless you ask us to delete them sooner or join Rite.
  • Website logs and analytics: up to 26 months.

Customer data in a Rite application is kept and deleted according to your agreement with us, and is returned or deleted when the agreement ends.

07

Data inside Rite applications

Rite applications and agents run with your Oracle Cloud environment. The records they work with, such as employee, payroll, project, supplier and financial data, belong to the customer. Oracle Cloud stays the system of record.

  • We process that data only to provide the service and only on the customer’s documented instructions, under the data processing terms in the customer agreement.
  • Where a Rite application is hosted by Rite, each customer’s data is kept separate. Rite staff access production data only to deliver support you have asked for, and that access is logged.
  • Desktop tools such as CloudMiner run on your own devices and connect directly to your Oracle environments. Query results stay on your machine unless you choose to export them.
  • Managed services staff work inside your systems under your access controls and policies.

If you are an employee or supplier of a Rite customer and have a question about data in a Rite application, please ask your employer or the customer first. They control that data and we will help them answer you.

08

How we protect it

We use technical and organisational measures that fit the sensitivity of the data, including:

  • encryption in transit (TLS) and at rest;
  • single sign-on and multi-factor authentication for Rite staff, with access limited to the people who need it for their job;
  • logical separation of each customer’s data in Rite-hosted applications, with logging and monitoring;
  • background checks, confidentiality terms and regular security training for staff;
  • backups, tested recovery procedures and a documented incident response plan;
  • regular review and testing of our controls.

No system is perfectly secure. If we learn of a breach that affects your personal information, we will tell you and any regulator without undue delay and within the time the law requires, and we will explain what happened and what we are doing about it.

09

Your choices and rights

Marketing

You can stop marketing emails at any time with the unsubscribe link in any message or by writing to mail@rite.digital. We will still send service notices you need as a customer, such as security advisories and release notes.

Your rights

Depending on where you live, you may have the right to:

  • know what personal information we hold about you and receive a copy;
  • correct information that is wrong or incomplete;
  • have your information deleted;
  • restrict or object to how we use it, including for direct marketing;
  • receive it in a portable format;
  • withdraw consent where we rely on it;
  • complain to a data protection authority.

To use any of these rights, email mail@rite.digital with “Privacy request” in the subject. We will confirm your identity, respond within 30 days, and never treat you differently for asking.

California residents

Under the California Consumer Privacy Act you have the rights to know, delete and correct described above, and the right to opt out of the sale or sharing of personal information. We do not sell personal information and we do not share it for cross-context behavioural advertising except through marketing cookies you can turn off (section 5). You may also use an authorised agent to make a request on your behalf.

Visitors from the EEA, UK and Switzerland

Rite is based in the United States. When we transfer your information out of the EEA, the UK or Switzerland we rely on the European Commission’s Standard Contractual Clauses and the UK Addendum, with additional safeguards where needed. You can ask us for a copy.

10

Children

Our websites and services are for businesses and the people who work in them. We do not knowingly collect personal information from anyone under 16, and our sites are not directed at children. If you believe a child has given us information, write to mail@rite.digital and we will delete it.

11

Links to other sites

Our sites link to Oracle, LinkedIn, event organisers and other companies. Their sites have their own privacy policies, and this policy does not cover them. When you install a Rite listing from Oracle Cloud Marketplace, Oracle’s terms and privacy policy also apply to that marketplace.

12

Changes to this policy

We review this policy at least once a year and when our services change. When we make a material change we will post the new version here with a new “last updated” date and, if you have an account or receive our emails, tell you by email or through the support portal at least 30 days before it takes effect. The “last updated” line at the top tells you which version you are reading.
